|---|---|---|---|
| Routine for creating advance invoices via sales orders. Creates an order confirmation and invoice with one single click. You choose the amount and can issue partial invoices as many times as you wish. | |||
| When the delivery note is created, you are asked if the delivery note should be emailed to the customer to notify them that the order is ready for collection. | |||
| Sends the invoice electronically to your customer. The service can handle your entire invoice flow and distributes invoices according to your customers’ requirements. Traffic costs apply. | |||
| External documents such as quotations, orders, purchases, delivery notes, and invoices in Swedish and English. Other languages can also be arranged. | |||
| This routine saves time and material costs from the manufacturing order to the sales order, which is then delivered and invoiced. A timesheet report can be attached to the invoice. | |||
| There are several different reports for sales history and statistics. The database in Prosmart can also be connected to Excel or Power BI so you can create your own reports. | |||
| Used to make a material withdrawal for a project that is not to be invoiced at this time. This is an integration to Hogia, Swedish finance system. | |||
| Prosmart has integrations with several different accounting systems on the market. | |||
| Perform a delivery time simulation on an item for a selected quantity to calculate the delivery time. Takes into account stock balances, lead times on purchases, and production load. | |||
| This function is used when there is no need for a full calculation but you simply want to “link” one or more items together for an assembly before delivery, such as packing several different items in a bag or similar. | |||
| Via this routine, you can import/send a sales order in several different file formats (XML, among others), to create sales orders in your Prosmart or send a digital order to your customer. You can also handle various EDI flows. | |||
| This function ensures that no VAT is applied to the invoice to your customer and adds a text regarding who is liable for VAT. | |||
| A function that gathers all completed deliveries to a customer into a single invoice. You configure whether the customer should have collective invoicing or not in the customer settings. | |||
| Directly from the sales order line, you can create a manufacturing order or purchase order for the current item with a single click. Very useful for those who manufacture or purchase to order. | |||
| When you perform your delivery, you can create a waybill and book your carrier directly. Product sheet | |||
| Function for creating a commercial invoice/customs invoice when exporting products to countries outside the EU. | |||
| This function handles a surcharge calculated on the invoice. This is very practical for customers who have items locked to a certain exchange rate or alloy surcharge. You enter the locked rate, and Prosmart then calculates the difference against the current rate on the invoice. The surcharge gets its own invoice line under the relevant item so that costs are clear to the customer. | |||
| You can set weight and volume on items, which are then summed up on the sales order. Useful to have at hand when creating waybills and booking transport. |
Items and inventory
Accurate item data is essential for efficient material and production planning. Explore the features available to support your business.
Included in all packages: Item master data, inventory counting, inventory valuation, and product groups.

|---|---|---|---|
| If you have requirements or wishes for traceability, Prosmart supports this, from purchased or manufactured items until the item is delivered to the customer. Batch management can be purchased as an individual module to handle batches more manually on manufacturing orders and sales orders. It is also included in the Floating inventory module where traceability routines are handled with more automation and reporting requirements to proceed. | |||
| A highly appreciated feature in Prosmart. Custom fields are fields that are undefined in the database. You can define these yourself and fill them with data. These fields can be included in printouts, used for various calculations, turned into a “selection list” where the user can only choose predetermined options in the field, and more. Very flexible and useful for most companies. | |||
| An item number can be located in several different places with a balance per location. This function also handles batches and traceability. | |||
| Inventory counting in Prosmart can be done continuously or during short periods when you “lock” the balance until the count is complete. Inventory results can be registered via Prosmart Mobile for more mobile and accessible reporting. | |||
| In Prosmart, you can link documents such as drawings, images, instructions, quality protocols, and more. Documents can be linked to items, customers, suppliers, orders, manufacturing orders, purchases, and so on. You can also control the documents and decide if they should be printed, attached to an email, or similar. | |||
| Value the inventory according to standard cost. | |||
| Value the inventory according to FIFO (First In, First Out). Average price calculation is a function that calculates through the entire manufacturing structure and determines what the individual structure currently cost to manufacture. A good function for those who have fluctuating costs for incoming materials due to exchange rates or alloy surcharges. Average price calculates a new cost for a manufactured product for inventory valuation at each manufacturing occasion. Configuration and walkthrough costs apply. | |||
| These different groups are used to extract statistics or mass update your items. | |||
| Via this function, you can change an item’s description when you sell it to another country. Even the unit can be changed to another language. |
Costing, Production & Planning
Discover some of Prosmart’s most powerful and flexible features for production management and planning.
| Start | Smart | Sync | |
|---|---|---|---|
| An advanced planning program that distributes material planning and production planning according to your settings. Here you can simulate increased resource capacity for an individual resource to see how this could have affected other resources, delivery times, and more. | |||
| A completed manufacturing order becomes a post-calculation. Prosmart has efficient routines for searching for the post-calculations that deviate the most and are most interesting to look at for potential future corrections. | |||
| A function that searches through an item structure for items containing specific or prohibited substances, such as lead. | |||
| With this function, you can create your own forecasts for which you want manufacturing or purchase suggestions via the net requirement calculation continuously in suitable batch sizes to match the consumption of the item. Custom forecasts help you optimize your material planning and production planning. | |||
| Prosmart primarily has three different views for presenting production planning: Priority Table, Calendar, and Capacity (which compares load against capacity). From all views, you can move the manufacturing order, change production group, see material status, and so on. There is also a view, Capacity vs Load, where you can select one or more production groups and see the load in a single view for all selected. | |||
| On the calculation, you can perform a production FMEA to reduce the risk of recurring complaints. A measurement protocol can also be established, against which you can then report measurement results out in production. | |||
| A very well-developed and important function for many of our customers. Net requirement calculation is the basis for good material planning and production planning. All “needs” for what needs to be purchased and manufactured end up here. Via settings, you can merge needs (if the same item is consumed on several orders), deselect safety stock (to process the most important items first), keep track of lead times, and more. Via the reschedule-in and reschedule-out lists, you easily manage if any order needs to be moved forward or can be delayed for various reasons. | |||
| This function creates unique individual numbers when reporting a manufacturing order. You can then use these individual numbers to mark the product so that you get full backward traceability. | |||
| Prosmart handles multi-level structures in the calculation. You can get a clear overview of the structure and its underlying levels in the “Tree”. From here, there are functions for gross requirement analysis, material planning, where-used search, delivery simulation, and more. | |||
| The manufacturing order becomes, by default, a copy of the calculation it was created from, but the function can be used however you wish for an individual manufacturing occasion. The information on the manufacturing order forms the basis for your material planning and production planning. | |||
| With this module, you can configure your items during quotes and orders. This means, for example, that you can have the same item, but in several different colors. Then it is enough to build one item and then add a choice of color. With this type of variant management, it is possible to build complex configurations/choices that can involve both price changes for the item and changes in material and time consumption in production. | |||
| The tool store is like its own item register for, for example, molding tools, molds, and more. This register is linked to the operations register in calculations and manufacturing orders. There you can link a tool to an operation and thus include information about this on, for example, the manufacturing order. Here you can also set if the tool has cavities and, if so, how many items are produced per “shot”. |
Add-ons and features
Here you will find a number of features that span the entire system solution
| Start | Smart | Sync | |
|---|---|---|---|
| Prosmart has an open API. This means you get access to our entire API documentation and can retrieve and submit data according to it. The API is often used when you have other systems, such as e-commerce solutions, Business Intelligence, and others, that want to send in or use data available in Prosmart. | |||
| The program handles non-conformances both internally (manufacturing orders) and externally (customer complaints and supplier complaints). Custom registers for causes, status, and follow-up are created. Reports and reminders. | |||
| Dynamic grid shows the register you are viewing in table form (similar to Excel). The table can be filtered and sorted as you wish and can easily be exported to, for example, Excel. | |||
| A built-in routine for sending external documents such as quotes, orders, invoices, and purchases, among others, via email with an attached PDF. The function can be linked to your Outlook or Microsoft 365 so that sent emails end up in your personal or shared Sent folder. | |||
| This license gives you as a user the opportunity to run Prosmart in both PC and web interfaces. | |||
| The project module in Prosmart gathers all orders (income and expenses) in one place. From here, you can get an overview of all purchase orders, manufacturing orders, post-calculations, and sales orders. You can also enter a supplier invoice for which you haven’t made a purchase order, so that you include all costs for a project. | |||
| With the report generator, you can create your own reports/tables of data from the database. You can select one or more database tables and choose fields from these. Configure different selections and sortings according to your own needs and save it. The report can also be exported to Excel. | |||
| The menu system in Prosmart can be obtained in a language other than Swedish. Which language is displayed is controlled by settings at the user level. |
Purchasing

|---|---|---|---|
| In the order list, you get purchase suggestions based on your settings. The order list takes into account existing orders (reservations), safety stock, and minimum order quality. | |||
| Via the purchasing routine, you can create a request to one or more suppliers. The request can then easily be converted into a purchase order. | |||
| Goods reception of purchase orders. Handles partial deliveries, arrival inspection, and more. Can be run via Prosmart Mobile. | |||
| Purchase orders to your suppliers can easily be emailed with an attached PDF in the email. An XML file can also be attached. Your supplier can import this into their system to create the order. | |||
| Handles the purchase of operations performed by a supplier. | |||
| Via Readsoft Online, Prosmart receives an XML file used to match the delivery of the purchase order against the supplier invoice. There is also an approval function, with the possibility to re-code the invoice if necessary. |
Time tracking
Explore the features available for time tracking, employee management, and payroll integration.
| Start | Smart | Sync | |
|---|---|---|---|
| Prosmart has integration with Hogia, Spiris, and Fortnox. | |||
| Here you can register qualifications, training, competency requirements for a person or machine, set up training plans, link documents/certificates, and more. | |||
| This is a stripped-down version of Prosmart Time Standard. Prosmart Time Basic does not handle pay types, so it cannot be linked to a payroll system. However, it gathers attendance hours that you can get in an attendance report which can form the basis for salary payments. | |||
| Prosmart Time Standard is a complete time clock system that handles most employer agreements. |
